Accessing Voicemail for Office Based Workers

Overview

This guide outlines Voicemail portion of RingCentral, how to access, and manage Voicemail.
When it comes to Voicemail, Columbia Aged Care is divided into two user Groups. Roaming Team Members and Office Based Team Members.

Office Based Team Members

Office Based workers such as head office staff, facility managers and the maintenance team will have their own personal voicemail available that can be accessed via the RingCentral desktop or mobile app by clicking on the voicemail tab.

Roaming Team Members

Roaming team members such as ENs, AINs, RAOs, GSOs and the Administration Team Members do not have their own voicemail. This is because messages may need to be answered / responded to when you are not on shift; therefore; a 'shared' voicemail box is being used. This is a similar methodology to the shared 'RN' email inbox to ensure continuity of care.

Accessing Voicemail

Please note that you do not access voicemails off your physical desk phone. We have migrated to a cloud-based phone system called RingCentral. Voicemails will be emailed to you and/or are accessible via your RingCentral App on Desktop or Mobile.

Office Based Team Members: Option 1 - via Email

By default, all voicemails will be transcribed and sent to your Gmail inbox as text, with the audio file attached,

Office Based Team Members: Option 2 - via Desktop

  1. Open the RingCentral App on your ChromeOS Device
  2. Sign-in (if not already signed)
  3. From the left hand menu, select 'Inbox'


Select the voicemail of interest from the list. The system will provide you with the ability to listen to the voicemail, as well as a rough (and often quirky) transcript and a number of options including:
  1. Message the Person [disabled for our account]
  2. Video call the Person [only available in some cases, depending on the caller]
  3. Return the Call
  4. Send a fax [disabled for our account] 
  5. Block Caller and Report Tem

Office Based Team Members: Option 3 - via Mobile App

  1. Open the RingCentral App on your Mobile Device
  2. Sign-in (if not already signed)
  3. Select 'Voicemail' at the top of the application
