Mobile SMS Access & Corporate Communications

Overview

To maintain security, streamline communications, and manage costs, SMS (text messaging) functionality is restricted to specific leadership and operational roles within the organisation. This article explains who has access to SMS, how to find your number if you are an authorised user, and the preferred channels for all other corporate communications.

Approved Roles for SMS Access

In alignment with the Role Based Access control (RBAC) policies, only the following roles have been approved by the CEO to utilise SMS on corporate mobile devices:

  • CEO (Chief Executive Officer)

  • CFO (Chief Financial Officer)

  • COO (Chief Operating Officer)

  • People and Culture (Authorised team members)

For all other staff, SMS functionality is disabled by default. If your role is not listed above, your device will not support outgoing or incoming text messages via the cellular network.

How to Access SMS (Approved Users Only)

If you hold one of the approved roles listed above, the Google Messages app will be automatically provisioned and visible on your corporate mobile device.

Finding Your SMS Mobile Number

To locate the specific mobile number assigned to your device for SMS purposes, follow these steps within the app:

  1. Open the Google Messages app.

  2. Tap your Profile Picture/Icon (top right corner).

  3. Select Message Settings.

  4. Tap on RCS Chats to display the number.


Standard Communication Channels

For the majority of staff, and for general corporate business, please use the following approved platforms:

  • Internal Messaging & Quick Updates: Use Google Chat. This remains the primary and preferred channel for day-to-day internal communication.

  • Formal Correspondence: Use Gmail.

  • Voice Calls & Telephony: All professional voice calls must be conducted via RingCentral.

By using these integrated tools, we ensure that corporate data remains secure and that our communication history is properly archived in accordance with Australian record-keeping standards.
