How to Access and Use the Transmit SMS Service for Bulk or Single SMS Messages
Introduction
This article provides instructions for management staff on how to access and use the Transmit SMS service for sending either bulk or single SMS messages.
Accessing the Transmit SMS Service
Apply for an account by submitting a ticket to the IT Helpdesk.
The application will be sent to the executive for approval.
- Once approval is granted, an email with login credentials will be sent.
Sending SMS Messages
Option 1: Via the Online Portal
Ensure there is a distribution/recipient list.
- Select 'Contacts' to create and/or manage the recipient/distribution lists for the organisation.
- Locate the correct distribution list from the contacts and select 'Send SMS'.
- If the recipient list does not exist, you can create one by selecting 'New Contact List' then either adding contacts manually OR uploading a CSV.
- Identify and select the relevant contact/ distribution list.
Select the 'from/ sender'.
- Please note that you can send from 'columbia' to broadcast a message and receive no replies. To receive replies you must select, use a shared number.
- Insert your message above [unsub-reply-link].
- Do not add a track link/ ignore this field.
Schedule - you can send immediately or select a preferred date and time for sending.
- Do not split sending. Additionally, we recommend leaving the pending message expiry to its default settings.
Finally, select 'Next' when ready to send your message.
- The system will show you an estimate of the SMS cost for your approval.
- Select 'Send' when ready to transmit the message.

Option 2: Via Email
Your email must already be authorised by the executive and configured in the system by the IT Department to allow you access to the email-to-sms feature.
To send an SMS using your email:
- Open Gmail and select 'Compose'
- Set the To: field to the mobile number you're sending to in the following format eg. 04XXXXXXXX@transmitsms.com OR 614XXXXXXXX@transmitsms.com
- You can set as many recipients as you like in the to field to send as individual messages OR you can send a bulk-SMS by inputting '<insert SMS group name>@transmitsms.com' and the SMS will be sent to all mobile number son the list
- If you want to receive replies back to your email leave the subject blank.
- The recipient will receive the message from our system response number (a randomly generated mobile number) but it will say 'Columbia Aged Care'
- When the recipient replies the message will be returned as an email to your nominated address. The body of the email will contain your complete conversation as you communicate.
